What is a workflow?
A workflow is a structured, step-by-step learning journey that a learner follows after they enroll in a product. Organization admins design these journeys in the Workflow Builder: each step is a piece of content, an activity, or a service the learner must work through, and steps unlock in sequence — a learner cannot start a step until its prerequisites are complete.
Once a workflow is published, every new order for a linked product is driven by it. Admins can watch learner progress in real time and step in with interventions when a learner gets stuck.
How steps work
Every step has:
- Step name and instructions — shown to the learner at the top of the step.
- Step type — what the learner must do (see step types).
- Assignee — who the step is assigned to (usually the learner).
- Available after — prerequisites: other steps that must be completed first.
- Hidden — whether the step is shown in the learner’s journey overview.
Assignees
Each step is assigned to one of:
- User — the learner themselves (homework steps must be assigned to the learner).
- Advisor — a specific advisor.
- Advisor pool — any advisor in a pool.
- Organization — the organization.
- Admin — a Pathiva admin.
